Film production assistant responsibilities:

  • Prepare, collect and distribute production, storyboard and record materials
  • Update the file system(s), manages the art archives, and maintain organization of assets on the server
  • Assist with preparing, copying, and shipping materials overseas, and coordinate between checking and shipping departments
  • Administrative tasks may be assigned including scheduling, meeting preparation, and ordering office supplies as needed
  • Assisting with special projects and miscellaneous production support as needed
  • Manages the calendars and appointments for Physical Production Department
  • Schedules a high volume of internal and external meetings, via live, video conference, and conference calls
  • Prepares materials for internal and external meetings – agendas, prep sheets with information on credits etc
  • Sorts and files all relevant project materials--notes, drafts, budgets, schedules, call sheets, crew lists, wrap reports —on the server to be easily Updates and maintains a contact database for Physical Production Department
  • Tracks expiration dates of legal contracts
  • Prepares monthly expense reports for Production Department
  • Schedules and manages project and festival travel for Production Department
  • Works directly with the directors, writers, producers, and postproduction teams on projects in development and/or filming in various capacities as necessary
  • Coordinates S.I.P. (Strategic Inflection Point) Meetings for all projects (similar to Greenlight meetings)
  • Manages special research projects for all departments on an as-needed basis, regarding but not limited to case studies on production companies and studios, Budget comparisons, Tax incentive comparisons, crew credits and production trends
  • Maintains an excel spreadsheet of current production trends that could be utilized by UFT’s slate
  • Tracks emerging filmmakers practices and Below the Line Crew that may be of interest for current projects
  • Engages and creates relationships with the entertainment industry assistant network, providing useful intel on potential creative or financial partners
  • Works with the Manager of Physical Production to keep the Production handbook up to date
  • Attends meetings as needed to take notes to then communicate action items


Qualifications

  • We need someone exceptionally well-organized and able to effectively multi-task & prioritize, taking initiative wherever possible and budgeting time for special projects
  • The ideal candidate will demonstrate a proactive ability to anticipate needs and react efficiently and calmly in the face of changes
  • Good communication skills, both written and verbal
  • Detail-oriented and excellent organizational skills
  • Experience with the Microsoft Suite
  • 1-2 years of experience working in a production environment
  • A strong NFL knowledge is required
  • Must be open to overnight, weekend and unusual hours
  • Must have strong editorial skills and NFL knowledge to know what video and soundbites are best to edit
  • Strong attention to detail
  • Ability to solve problems and work independently
  • Creative and collaborative attitude
  • We are looking for individuals with a strong professional sense who are eager to learn, quick on their feet with a can-do attitude
  • Candidates must be detail-oriented, work great with a team, and have the ability to adapt quickly, anticipating needs with ease and flow
  • Must have a reliable vehicle with proof of insurance and valid Driver's License general knowledge of the city in order to navigate to destinations efficiently
  • Ability to multi-task and perform duties quickly and accurately, cordial and professional demeanor at all times; must be a team player
  • Strong oral and written communication skills
  • Excellent attention to detail
  • Excellent time management skills and comfortable handling multiple tasks
  • Strong ability to work with multiple personality types



LANGUAGES: 

  • English 
  • English & Mandarin & Spanish & Japanese (Big plus but not mandatory)
